Speakers must register by September 23, 2024. Complete the 2024 registration form: Register Now. Select “Speaker” as the registration type and use the code sent to you via email to access speaker registration. This code is unique to speakers; please do not distribute it to others. If you have any questions about registration, contact the VRMA Registration Team at registration@vrma.org.

Conference Venue

The Conference venue is the Phoenix Convention Center located at 100 North 3rd Street in downtown Pheonix. It provides easy access to various urban amenities and is conveniently situated just four miles from Phoenix Sky Harbor International Airport. View parking information and directions here.

Hotel Information

Need a place to stay? Explore the four hotels near the conference venue that feature our discounted VRMA rates. Booking links will be provided in your registration confirmation email. All speakers are responsible for their own travel and hotel expenses. Be steps away from all conference happenings by staying in a VRMA room block, but act quickly – the special, discounted room rates are available until September 23, or until the hotel room block sells out, whichever comes first.

Presentation Guidelines, Template, and Expectations

View Presentation Details

New this year: The VRMA Education Committee will be meeting 1-on-1 with session speakers September 9 - September 20 to help them prepare for their session. These prep calls will be scheduled by the VRMA Education Team. All speakers are required to attend the prep call and are expected to have their PPT finalized or session outline finalized (laying our the content you've created). This review ensures content is in line with the session description provided.

The speaker(s) will then incorporate any edits/feedback provided the week of September 23.

Draft PowerPoint presentations are due by September 23. Upload your draft to the VRMA Google drive for committee review. Incorporate all edits and re-upload your final PowerPoint presentations by Tuesday, October 1. If you aren’t able to upload, please email your file in .PPT/.PPTX format to education@vrma.org.

• Download and utilize the 2024 International Conference PowerPoint Template to ensure all presentations are unified under the conference theme.

• To support more sustainable conference practices, we will not provide any hard copies of presentation materials. Your PowerPoint and any supplemental handouts will be available via the conference mobile app.

• Please submit any additional handouts or materials in .PDF format.

• Speakers are NOT allowed to use their own laptop during the breakout session.

Preparing For Your Onsite Experience

Audio/Visual (A/V) Provided and Room Set

All session rooms include various seating options to meet attendee comfort and engagement levels (i.e. roundtables, theater, classroom).

Each session room comes equipped with:

• Chair for each speaker (panel session format only)

• Stage with podium for the laptop

• Lavalier microphones for speaker(s)

• Laptop with your PowerPoint pre-loaded. You cannot use your own laptop for your breakout session

• Slide advancer

• Projector & screen

• A/V support

FAQs

Do I need to use the VRMA PowerPoint template?

If you plan on using slides, yes! To ensure a consistent brand experience and thoughtful content design, the PowerPoint template is required for all presentations that have slides. Slides are not required for all presentations but are recommended.

Can I use polling during my presentation?

Absolutely! Polling is a fantastic way to engage the audience. Speakers are responsible for managing and executing polling. The VRMA Education team recommends using Sli.do.

Can I change my title/learning outcomes/speaker info on the website?

Please email education@vrma.org with your desired changes. Note that changes to the website happen weekly and major session information changes will not be allowed after October 1.

Do I need to bring my PowerPoint to the session?

Yes! The VRMA Education Team pre-loads all PowerPoints onto the provided laptop but it is always a good idea to have a backup – especially if you make edits to your presentation after the October 1 deadline. 

Can I bring my own laptop to run my PowerPoint?

No – VRMA will be recording sessions, so speakers must plan to use the VRMA provided laptops. The AV team and VRMA staff will work with you onsite to ensure your most up-to-date PowerPoint is on the provided laptop for you. 

Will I be introducing myself and/or my session?

No. Each session will be assigned a session moderator to introduce the session and speaker(s). They can also help field Q&A as needed and ensure your session doesn’t run over time. You will receive further information about your session moderator in September.
